Privacy Policy

🔒 The short version: HailPDF has two kinds of tools, and they handle your data differently. Data & Dev tools (JSON, Base64, hashing, regex and similar) and the ZIP Extractor run entirely in your browser — nothing you type or upload into those tools is ever sent to our servers. Every other tool (PDF, image, office and ZIP-creation tools) uploads your file to our servers over HTTPS to process it, then deletes it immediately — we never store, view, or share the content of those files. See "How Your Files Are Handled" below for exactly which category each tool falls into.

1. Information We Collect

Account information: If you create an account, we store your name, email address, and a bcrypt-hashed (never plaintext) password.

Usage data: We log which tools are used, when, and file size (not file content), to enforce fair-use daily limits and understand which tools are useful. For anonymous users we log the IP address and tool slug only for this same purpose. Client-side tools (see below) are never logged, since we have no way to see that activity in the first place.

File content: For server-processed tools, your file is uploaded over HTTPS, held in memory only for the duration of processing, and never written to disk unless you are logged in and the result is saved to "My Files" (see Section 3). For client-side tools, we never receive your file or text content at all.

Analytics: We use Google Analytics to understand aggregate traffic and tool popularity. Google Analytics uses cookies and collects information such as your approximate location, device/browser type, and pages visited. See Section 5.

2. How We Use Information

To operate your account and enforce usage limits.
To improve the Service and understand which tools are most useful.
To send password reset links (only when you request one).
To detect and prevent abuse.

3. How Your Files Are Handled

Server-processed tools — this includes every PDF tool, every image tool except where noted, every office-document conversion, and the ZIP Creator. For these:

Your file is uploaded over HTTPS and held in memory only — it is not written to disk during processing.
The uploaded file is discarded as soon as the request completes; we keep no copy.
If you are logged in, the result (not your original upload) can be saved to your account under "My Files" for convenience, and is automatically deleted after 24 hours (Free) or 30 days (Pro), or sooner if you delete it yourself.

Client-side tools — every tool under Data & Dev Tools (JSON formatter, Base64, hash generator, regex tester, JWT decoder, and others in that category) plus the ZIP Extractor. For these, all processing happens using JavaScript running in your own browser. Nothing you type, paste, or upload into these specific tools is ever transmitted to our servers.

4. Cookies and Local Storage

We use browser localStorage (not a cookie, but similar in effect) to store:

Your authentication token, if logged in.
Your theme preference (light/dark mode).
A list of your recently used tools.

Google Analytics (see Section 5) sets its own cookies to distinguish visitors and sessions. We do not run any other advertising or tracking cookies ourselves.

5. Third-Party Services

We use a small number of third-party services that may receive limited data as described:

Google Analytics — aggregate traffic and usage analytics. Google may set cookies and collect device/browser information and approximate location. See Google's Privacy Policy.
Google Fonts — used to load web fonts; your browser makes a direct request to Google's font servers for some pages.
cdnjs / unpkg (Cloudflare, jsDelivr) — used to load a small number of client-side libraries (e.g. PDF rendering for previews, ZIP handling) directly from a CDN rather than our own server.

None of these services receive the content of files you process through HailPDF's server-processed or client-side tools — only the standard technical data described above.

6. Data Sharing

We do not sell, trade, or share your personal information with third parties, except:

The third-party services listed in Section 5, limited to the data described there.
When required by law or legal process.
To protect the rights and safety of HailPDF and its users.

7. Data Retention

Account data is retained until you delete your account. Anonymous usage logs are automatically deleted based on system settings (default: 24 hours). Password reset tokens expire after 1 hour. Saved files under "My Files" expire after 24 hours (Free) or 30 days (Pro) as described in Section 3.

8. Your Rights

You have the right to access, correct, or delete your account data at any time. Contact us at support@hailpdf.com to exercise these rights. See our Data Policy for a more detailed technical breakdown of what we store and for how long.

9. Children's Privacy

HailPDF is not directed at children under 13, and we do not knowingly collect personal information from children under 13.

10. Security

We use industry-standard security practices including bcrypt password hashing, JWT authentication, and HTTPS. However, no system is 100% secure.

11. Changes to This Policy

We may update this policy periodically. We will notify registered users of significant changes via the site announcement system.
